EA & Assistant Chief of Staff

We are looking for a EA & Assistant Chief of Staff in our London Office
As Assistant Chief of Staff (Operations) you will
  • Act as operational deputy/assistant to the Founder & CEO, coordinating schedules, appointments, operational support, and standing in for Executive Directors where required;
  • Own responsibility for Company operational and staffing KPIs, coordinating operations and budget up to £500K including collating team timesheets, preparing and submitting invoices, handling expenses, company insurances, licences, revenue recognition and reconciliation with accountants and general operational financial forecasting;
  • Lead strategic track and KPIs for Company culture, team wellbeing, community and care, including owning responsibility for policies and initiatives including monthly 1:1s, staff satisfaction, onboarding and exit processes, general HR;
  • Act as budget decision-maker for travel and on-site consulting engagements across our team of 15-16 consultants across Europe, Middle East and Asia (flight and accommodation bookings are made and managed by our third party travel agent service);
  • Support the Board of Directors in coordinating and reporting on quarterly Board Meetings, Directors Meetings, annual reviews, strategic planning processes and activities;
  • Support in drafting and proofing of Statements of Work, Consultant Contracts, Operational Policies & Protocols and other operational Ways of Working materials;
  • Support in the management and successful delivery of projects, helping to formalize processes that enable smooooooth ways of working.
About You
  • You’ll have a Bachelors degree in at 2:1 or above grade in Business Administration, Management, Finance or relevant related area.
  • You'll have 3+ years relevant operations experience in a consultancy, agency, technology business or other related private company, with at least 1 year responsible for managing operational areas.
  • You'll have experience managing schedules, acting as gatekeeper to senior leaders, representing senior leaders in stakeholder and external interactions whether as assistant, deputy or executive support.
  • You’ll be ambitious and driven, eager to bring high energy and positivity to engaging with a dynamic, fast paced team working with some of the world's leading brands and companies.
  • You’ll be articulate, well presented and bring excellent communication skills, able to effectively dialogue with and influence senior leaders, stakeholders, clients and team members.
  • You’ll have outstanding organizational skills, and be able to take the initiative managing tasks, making decisions within your area of responsibility, escalating where required, delegating eg travel arrangements and on all matters tracking progress, reporting on objectives and activities.
  • You'll be expert at working with a degree of ambiguity, translating high level asks/concepts into tangible actions and activities, as well as context switching between multi tasks and tracks.
  • You'll have experience managing budgets, expenses, invoices and contracts with suppliers.
  • You’ll be technically savvy with Google Suite, Office 365 (Excel, PowerPoint, Word).
  • You’ll love collaborating and have a love of people and building relationships at all levels and across cultures.
  • Any experience with accounting platforms like FreeAgent is a bonus.
